Microsoft 365 & AI IntegrationUK SMEsUpdated 1 October 2026
Independent, UK-based consulting for Microsoft 365 Copilot readiness, deployment, and custom AI integrations — for SMEs that want Copilot to actually pay back, not just sit in a licence bill.
Current as of 1 October 2026. The six things that shape a Microsoft 365 Copilot decision today. How we got here is in the FAQ: what changed in Copilot during 2026.
Pricing. Microsoft 365 Copilot (Premium) is still around £24.70 per user per month in the UK — standalone Copilot SKUs were left out of the 1 July round. The Copilot Business introductory rate ended on 30 September: US$18 became US$21 on annual terms from 1 October. Business Standard with Copilot (US$23.50) and Business Premium with Copilot (US$32) are permanent SKUs, and Microsoft 365 E7 sits at US$99.
Cowork. Copilot Cowork has been generally available since 16 June 2026. Chat and Cowork are now two tabs of one experience, and Cowork has gained plugins, web browsing in Edge and an App skill that builds a small interactive app from a description. The App skill may still be in targeted release — check Message Center for your tenant.
Models. Claude is default-on in Word, Excel and PowerPoint and selectable in Copilot Chat. GPT-6 Astra and Claude Fable 5.1 are available in Cowork and Copilot Studio only, not across Copilot generally. Grok is an off-by-default model choice in preview and is not available in the UK, EU or EFTA.
Copilot Credits. Cowork and agents are metered at US$0.01 per credit, or US$200 for a prepaid pack of 25,000. Credits are now consumed while makers build agents, not only when agents run. Limits can be set per agent, and there is a tenant-wide view of credit spend.
AI Builder. The seeded AI Builder credits inside Power Automate Premium and Power Apps licences are removed on 1 November 2026. Flows with AI steps will draw Copilot Credits or stop.
Regulator. The ICO became the Information Commission on 30 September 2026 and is still called “the ICO”; its duties did not change. The UK has no AI Bill. UKSI 2026/425 has been in force since 12 May 2026, the ICO’s automated-decision guidance is due in winter 2026 and the statutory code in 2027. The EU AI Act has applied since 2 August 2026.
What a Microsoft 365 AI integration consultant actually does
Most "AI consultants" chasing UK SMEs are generalists who pitch Copilot as a drop-in button. In practice, a Copilot rollout that delivers real hours-saved depends on three things that get skipped:
Data hygiene — Copilot grounds on whatever your users can already see. Sprawling SharePoint permissions leak data into prompts.
Sensitivity labelling — Without Purview labels, Copilot happily surfaces payroll spreadsheets to the sales team.
Use-case specificity — Generic prompts get generic value. Role-specific prompt libraries are where ROI shows up.
Utilis Technologies (UtilisTech) works with UK SMEs (typically 20–250 staff) across the full Copilot journey: readiness audit, governance setup, pilot, rollout, and the bespoke AI tools that live alongside Copilot where Copilot alone won't cut it.
Post-15 April 2026: what's changed
From 15 April 2026, Microsoft restricted Copilot Chat inside Word, Excel, PowerPoint and OneNote for users on the free Copilot Chat tier. Full in-app Copilot now requires a paid Microsoft 365 Copilot (Premium) licence — currently around £24.70 per user per month in the UK. For SMEs whose AI strategy was "everyone gets Copilot Chat for free and we'll figure it out from there", that strategy stopped working in April.
There are two shifts worth pricing into any 2026 M365 plan:
Per-task model choice (April) and default-on Claude (May). Copilot Premium now lets you choose between OpenAI models and Anthropic's Claude on a per-task basis. From May 2026, Claude is also default-on inside Word, Excel and PowerPoint for eligible Copilot tenants — the earlier opt-in is gone. The choice changes the tone and reasoning quality of outputs, but not what Copilot can do; that's still bounded by the Microsoft Graph and the apps Copilot sits inside.
Researcher agent outputs. Copilot's Researcher agent now exports findings as PowerPoint decks, PDFs, infographics or audio briefings — not just text. Useful if you're presenting research upwards; worth factoring into any Copilot business case.
The honest question after 15 April is: are you getting value from Copilot, or did you think you were because it lit up in Office? If it's the latter, a targeted custom automation usually beats scaling Premium licences to the whole team.
Cowork, models and credits: what to decide now
The late-September changes are less about new features and more about who owns three decisions.
Chat and Cowork are one experience. They now sit as two tabs of the same window, so staff no longer have to go looking for the agentic side. Cowork has also gained plugins, web browsing in Edge and an App skill that builds a small interactive app from a description. That overlaps with the simplest end of custom work: a single-team tracker or calculator no longer needs a build. The App skill may still be in targeted release, so check Message Center before you promise it to anyone.
Model choice is per surface. GPT-6 Astra and Claude Fable 5.1 are available in Cowork and Copilot Studio only. Word, Excel, PowerPoint and Copilot Chat keep their own model options. “Which model do we use?” therefore has a different answer in each place, and your acceptable use policy should list it that way.
Credits need a budget and an owner. Credits are now consumed while makers build agents, not just when agents run, so an enthusiastic pilot can spend before anything ships. We set per-agent credit limits and read the tenant-wide spend view as a routine part of a rollout.
Treat the value dashboard as a proxy. The Copilot consumption dashboard now reports “Cowork assisted hours and value”, with the methodology published. It is a conservative proxy you can baseline against, not a number to hand to finance. It may also still be rolling out to your tenant.
Sub-processor lists move. Grok is now an off-by-default model choice in preview. It is not available in the UK, EU or EFTA, but its arrival on Microsoft’s sub-processor list is the useful part: the list changes regularly. Someone named needs to review it and update your records of processing when it does.
What's included
1. Copilot Readiness Assessment
A structured 1–2 week review of whether Copilot will return value in your tenant today. Covers licensing, Entra ID and Conditional Access posture, SharePoint/OneDrive data sprawl, sensitivity labelling, eligible user roles, and expected hours saved per role. Output: a go/no-go recommendation with a costed remediation plan.
2. Data Governance & Sensitivity Labelling
Purview sensitivity labels deployed across Exchange, SharePoint and Teams. DLP policies aligned to UK GDPR and your sector's regulatory posture (e.g. FCA, ICO, MHRA). We deliberately ship a minimum viable labelling taxonomy — three to five labels, not thirty.
3. Pilot & Role-Specific Prompt Libraries
Copilot rolled out to a pilot group (typically Sales, Finance and Operations leads) with role-specific prompt libraries, measurable KPIs, and a feedback loop. We'd rather prove it works for 10 people before licensing 100.
4. Custom AI Tools Where Copilot Falls Short
Copilot is the right answer for roughly 70% of horizontal knowledge-work tasks. For the rest — contract triage, customer email classification, structured data extraction from PDFs — a purpose-built tool on the Microsoft Graph, Power Platform or Claude API is usually cheaper and better. We build those.
5. Governance & Acceptable Use Policy
Drafted AI usage policy, staff training materials, and an internal Copilot champions programme — so the rollout doesn't stall two weeks after go-live. Particularly important now that Claude is default-on inside Word/Excel/PowerPoint: AUPs that named approved models per vendor need rewriting to reflect the actual sub-processor map.
6. AI Growth Lab — try before you commit
Since the 15 April Copilot Chat change, more SMEs are reluctant to sign up for a year of Premium licences without knowing whether the tool actually fits their work. That's where the AI Growth Lab comes in: a low-risk sandbox where we take one real process from your business — invoice handling, contract review, email triage, meeting follow-ups — and build a working automation in your tenant for a fixed fee. You see it running on your actual data, with your team. No annual commitment, no platform lock-in. If it works, you scale it. If it doesn't, you've learned what doesn't fit before buying licences for 30 people.
Why UK-specific matters: Most Microsoft 365 Copilot content ranking in Google is written for US mid-market. UK SMEs have different licensing SKUs (Business Standard/Premium vs E3/E5), different data residency expectations, and UK GDPR / ICO commitments that change how governance is configured. A UK consultant skips the translation step.
Copilot readiness checklist
Before you buy Copilot licences, walk through this. If you can tick 7+ of 10, you're ready. If you can't, a readiness project will pay for itself.
Licensing: you're on Microsoft 365 Business Standard/Premium or E3/E5, and you've identified who actually needs a paid Microsoft 365 Copilot (Premium) licence at ~£24.70 per user per month — and whether the standalone Copilot Business add-on (US$21 on annual terms since 1 October 2026; the US$18 introductory rate ended on 30 September) and the permanent Business Standard with Copilot (US$23.50) and Business Premium with Copilot (US$32) bundles fit better (post-15 April 2026, the free Copilot Chat tier no longer covers Word, Excel, PowerPoint or OneNote)
AI Builder flows audited: you know which Power Automate flows use AI Builder today, because the seeded credits inside Power Automate Premium and Power Apps licences are removed on 1 November 2026 and those steps will either draw Copilot Credits or stop working
Entra ID: all users authenticate through Entra ID with MFA enforced via Conditional Access
SharePoint permissions: you've run a recent "oversharing" report and closed the obvious holes
Sensitivity labels: at least three Purview sensitivity labels are deployed and applied by default
Data Loss Prevention: baseline DLP policies exist for UK GDPR personal data
Teams governance: Teams creation policy is defined (not a free-for-all)
User readiness: target users already live in Outlook, Word, Excel and Teams daily
Hours-saved hypothesis: you can name the three workflows you expect Copilot to compress
Pilot group identified: 5–15 users across at least two functions
Acceptable Use Policy: you have — or are ready to adopt — a written AI usage policy for staff (and post-May 2026, that policy reflects the Claude-by-default reality)
Typical engagement
Four to eight weeks end-to-end for a typical UK SME:
Week 4–5 — Pilot. 5–15 user pilot group, role-specific prompt libraries, KPI baseline.
Week 5–8 — Rollout & training. Full rollout, champions programme, measurable hours-saved reporting.
Sectors we work with
Utilis Technologies focuses on UK SMEs in professional services, financial services, healthcare, and light manufacturing — sectors where Copilot's knowledge-work gains are concrete and where governance around personal or regulated data matters. If you're in construction, property or legal, we've done the work.
Assesses Copilot readiness, configures licensing and governance, deploys Copilot across Outlook, Teams and SharePoint, and builds custom AI tools on the Microsoft Graph, Power Platform or Azure OpenAI where Copilot alone isn't sufficient.
Post-15 April 2026, full in-app Copilot requires a paid Microsoft 365 Copilot (Premium) licence at around £24.70 per user per month in the UK. Typically worth it for staff who spend significant time in Outlook, Word, Excel and Teams, where SharePoint is well-organised and sensitivity labels are in place. Where data hygiene is poor — or where only a small number of users need it — a readiness project or targeted custom AI tool is usually a better first step than scaling Premium licences to everyone.
From 15 April 2026, Microsoft restricted Copilot Chat inside Word, Excel, PowerPoint and OneNote for users on the free Copilot Chat tier. Full in-app Copilot now requires a paid Microsoft 365 Copilot (Premium) licence. The change has forced many UK SMEs to re-evaluate who actually needs Premium — and whether a targeted custom automation would deliver more value than rolling paid licences out to the whole team.
April: from 15 April the free Copilot Chat tier lost in-app Copilot in Word, Excel, PowerPoint and OneNote, Copilot Premium gained per-task choice between OpenAI models and Claude, and the minimum purchase for the 40% Copilot discount fell from 1,500 to 1,000 licences. May: Claude became default-on in Word, Excel and PowerPoint for eligible tenants. Agent 365 and Microsoft 365 E7 (US$99 per user per month) arrived on 5 May, a three-year Copilot SKU opened in CSP on 1 May, and Flex Routing was enabled for EU and EFTA tenants. June: Copilot Cowork reached general availability on 16 June. July: the 1 July price round covered Business Basic and Standard, E3, E5 and F3 but not standalone Copilot SKUs. Business Standard with Copilot (US$23.50) and Business Premium with Copilot (US$32) became permanent, E5 gained Security Copilot, Claude became selectable in Copilot Chat, organisations could publish Agent Builder agents to the Agent Store after admin review, and an AI content watermarking policy arrived. September: Claude Fable 5.1 and GPT-6 Astra arrived in Cowork and Copilot Studio only. Chat and Cowork became two tabs of one experience, and Cowork gained plugins, Edge browsing and an App skill. Credits began to be consumed while agents are built, with per-agent limits and a tenant-wide spend view. The Copilot Business introductory rate ended on 30 September. Next: seeded AI Builder credits are removed on 1 November 2026.
Yes. As of April 2026, Microsoft 365 Copilot Premium lets you choose between OpenAI models and Anthropic's Claude on a per-task basis. As of May 2026, Claude is also default-on inside Word, Excel and PowerPoint for eligible Copilot tenants — the earlier opt-in is gone. As of July 2026, Claude is also selectable inside Copilot Chat. Since September 2026, GPT-6 Astra and Claude Fable 5.1 are available too, but only in Cowork and Copilot Studio. The choice changes the tone and reasoning quality of outputs but not what Copilot can do, which is still bounded by the Microsoft Graph and the apps Copilot sits inside.
Four to eight weeks end-to-end for a typical UK SME: readiness (1–2 weeks), governance (1–3 weeks), pilot (1 week), and full rollout with training (1–2 weeks).
Copilot is a licensed add-on that works inside Microsoft apps using tenant data. A custom tool — on Azure OpenAI, the Microsoft Graph or the Claude API — is purpose-built for a specific workflow, often cheaper per user, and usually solves a narrower problem better.
Yes for Copilot itself — it requires a qualifying Microsoft 365 Business or Enterprise licence. For custom AI tooling, no: we work with mixed estates (Google Workspace, on-prem file shares, third-party CRMs) and integrate via APIs where needed.
Utilis Technologies (UtilisTech) is a UK AI integration consultancy founded by Dean Kewley, an IT consultant with a background in Microsoft 365, Azure, and IT security. We work with UK SMEs across the full Copilot journey and on custom AI tooling where Copilot alone falls short.
